Role Summary This position (Human Resources Assistant) will support the overall Human Resources function and the Human Resources Manager.
Responsibilities include customer services (employees and vendors), correspondence communication and administrative support to the Human Resources Manager in the areas of benefits administration, employee relations, training, performance management, onboarding, policy implementation, recruitment/employment, employment law compliance and personnel matters.
This position performs a variety of duties relating to efficient operations of the office, remaining flexible as the needs of the business change.
Successful candidates will have strong interpersonal and communication skills (both oral and written), a genuine service-minded personality, excellent presentations and proficiency in general computer knowledge.
Must also be able to demonstrate discretion and professionalism, maintain confidentiality, multi-task, work well under pressure, and be highly organized and detail oriented.
Responsibilities and Duties Contacts, coordinates and assists new employees with new hire paperwork; manages on-boarding process overall.
Creates employee files according to standards/guidelines.
Assists with recruitment efforts:
arranging applicant interview schedules and drafting offer letters when necessary.
Coordinates pre-employment candidate process; initiates and tracks background checks, monitors compliance and new hire notification prior to employee start date.
Notifies Human Resources Manager of any incidents/issues that may delay newly hired employees from starting as scheduled.
Supports HR function by assisting/attending Employee Relations events (Engagement).
HRIS System management including implementation, configuration and entry as needed.
Acts as a resource for Payroll/HR contacts to ensure their understanding and compliance with benefits and HR policies and regulations.
Keeps management advised of potential problem areas and recommend/implement solutions as appropriate.
Office operations:
manages supplies, maintains stock levels, sorts and distributes mail.
Files or scans papers and documents into appropriate employee files on a regular basis.
Performs Customer Service functions by answering employee requests and questions in addition to inquiries from applicants qand vendors; acts as liaison with various insurance carriers and foster relationships with client representatives.
Assists the Human Resources Manager with various research projects and/or other special projects (i.
e.
open enrollment, HR Metrics/Board reporting, Common Review).
Provides miscellaneous administrative support such as mailings, makes photocopies, faxes documents, maintains office supplies and performs other clerical functions (as requested).
Coordinate and assist with HR compliance with a federal, state and local employment and benefits laws and regulations (i.
e.
ACA, ERISA benefits reporting, workers compensation reporting, USCUS Form I-9 compliance and other risk management administrative tasks) as needed.
Updates, monitors and maintains eligible salary adjustment/increase based on three month and one year evaluations.
Schedules meetings and interviews as request by the Human Resources Manager.
Maintain strict confidentiality at all times.
Assist with researching best practices ands drafting material to enhance company services, polies, and/or programs.
Type standard letters, reports, meeting minutes, or brief instructions following established formats which are frequently confidential.
Proofread and check documents for accuracy, completeness, and compliance; make corrections as needed.

High school diploma or equivalent
Experience:
Minimum 1 year of office experience Knowledge, Skills & Abilities:
Excellent ability to communicate clearly, in writing and verbally, and to listen actively Strong problem-solving, research and analytical skills Strong ability to set, manage and deliver on priorities, within a timetable Natural good judgment and discretion, including the ability to maintain confidentiality with respect to proprietary, confidential and/or sensitive information General computer skills, including proficiency working in Microsoft Office and Google Workspace applications, and doing online research Position Type / Expected Work Hours Full-time.
Typical work hours are Monday through Friday from 9:
00am to 6:
00pm.
However, the responsibilities associated with this position may occasionally require work in the evenings and on weekends, depending on business needs.
Work Environment This role is based in our company headquarters, and requires working in a collaborative and professional office environment.
Physical Requirements Prolonged periods of sitting or standing at a desk, computer work and/or making phone calls.
Travel This position does not typically require travel.
