80 a year 5 days ago 5 days ago 5 days ago Position Information The Department of Parks and Recreation (DPR) is seeking an Executive Assistant to provide executive level direct support for the Department Director, Deputy Director, Park Development Division (PDD) Chief and staff within the Office of the Director.
This position will report directly to the Department Director.
The Office of the Director provides leadership and guidance to the operation and support Divisions of the Department to ensure that the mission and vision are achieved.
Major duties:
Managing and responding to e-mails, phone calls, and written correspondence on behalf of the DPR Director; Maintaining and organizing the calendars for the DPR Director, Deputy Director, and Park Development Division (PDD) Chief; Organizing high level meetings with department heads, community members, the County Manager's Office, and interdepartmental meetings, including preparing documents and maintaining meeting minutes; Coordinating with the public relations team to conduct background research, including compiling information, details, and statistics necessary for drafting Government Response Action Memorandum (GRAM) and Freedom of Information Act (FOIA) responses, and resolving sensitive constituent issues on behalf of the DPR Director; Scheduling speakers and presenters, preparing presentations, agendas, reports, and memos, and tracking priorities and deadlines of special projects and events; Supporting the Office of the Director staff (approximately 40) with general office tasks including, replenishing copy room supplies and equipment, coordinating the use of shared suite spaces (e.
g.
, conference rooms, swing spaces, lobby space and kitchen space); Assisting the Director's Office with implementing, supporting, and sustaining various department-wide initiatives and ongoing projects; and Performing other job-related duties as assigned.
Selection Criteria Minimums:
High School Diploma/GED; and Significant experience in administrative support.
Substitution:
Successful completion of college coursework from an accredited college or university may be substituted for the experience requirement.
Desirables:
Preference may be given to candidates with experience in one or more of the following:
Providing administrative support to senior executives/directors or senior level management; Supporting multiple managers, handling confidential materials, and working in a team environment; Advanced administrative and organizational skills; Managing calendars, extensive scheduling, and tracking and coordination of departmental work; and Using Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).

Additional Information Work Hours:
Monday - Friday, 8:
00am to 5:
00pm, with teleworking options (3 days per week) and flexibility required to accommodate meetings, evening events, and weekend work.

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
