Summary
This Executive Assistant will provide proactive, discrete and professional support and administrative assistance to several senior leaders and their teams across a broad range of management and leadership activities within the Insurance and Financial Services Department
Purpose and Mission
Coordinate & prioritize requests by Department leaders or other management team members including management of calendars, meeting logistics, and presentation preparation for a variety of meetings and events
Assist in preparing and monitoring Department budgets, staffing, expenses, and accounts payable for the specified cost centers.
Prepare formal and informal presentations and all back-up materials for projects for senior management using PowerPoint, Word and Excel
Schedule and organize functions such as meetings, travel, business meals, conferences and division activities
Prepare reports regarding budgets, FAS 106, expense report reviews and accounts payables
Research information about medical plans and billing information and provide for FAS 106 valuations. Coordinate with the print shop the production and mailing of reports. Oversee the monthly invoicing for these valuation reports through Excel
Support the activities of the Deferred Compensation team in managing the program files and ongoing participation data
Assure the Department's timely response to administrative responsibilities by maintaining and routinely reviewing schedule/due dates and following up with appropriate parties, including but not limited to goal-setting meetings, employees annual and mid-year reviews meetings, annual increases timeline, and required trainings.
Proactively research and implement ways to automate tasks and move physical records to electronic storage. Maintain department file management system and coordinate remote storage
Contribute to the day-to-day coordination and efficiency of the Department by initiating changes/improvement through senior and support staff
Provide excellent customer service to employees, internal customers, co-op members and strategic partners
Proofread documents and compose correspondence
Perform general office duties such as answering calls, ordering office supplies for the Divisions and preparing work requests for maintenance of office equipment
Coordinate and assist other Executive & Administrative Assistants within the department as needed
Requirements and Qualifications
Eight (8) years administrative experience with two (2) years at the executive level.
Proficient in all MS Office applications and various other personal computer software related to office management.
Demonstrated ability to quickly learn new computer applications.
Excellent writing, proofreading, and communication skills.
Superb interpersonal, customer service and organizational skills.
Must be a self-starter, operate effectively under pressure and handle several tasks simultaneously without supervision.
Must work well as a team member. The ability to use tact and diplomacy in the handling of sensitive and confidential information is extremely important.
A knowledge of the employee benefit programs and services is highly desirable.
