Summary:
Provides executive support to the Senior Vice President, Government Relations, Political Affairs Team, and others in GR Department.
Maintain knowledge of GR department work priorities.
Coordinate, organize and arrange SVP schedule to accommodate for rapidly changing priorities.
Essential Duties and
Responsibilities:
Provides executive level support and handles confidential matters for the Senior Vice President, Political Affairs team and others in GR Department.
Manages, organizes and coordinates SVP's office schedule to allow for rapidly changing priorities.
Maintain current information on contacts.
Coordinates travel arrangements for the SVP and others utilizing Cliqbook travel system and Travel Tracker.
Process expense reports, timecards, and balance monthly credit card statements.
Coordinates aspects of new employee set up, staff transfers and moves to ensure a smooth transition.
Practical experience in applying customer service and customer satisfaction skills.
Drafts and prepares correspondence for SVP's signature.
Arranges hiring of temporary staff to cover administrative needs as required; oversees temporary hire, providing necessary training and guidance.
Reviews and prioritizes SVP's mail, resolving or redirecting issues to the appropriate staff person.
Follows up on issues that are reassigned to ensure that all matters are resolved.
Creates and maintain files of correspondence, reports and historical data as needed by the SVP.
Assists in the preparation of information and materials for SVP for the Annual and Regional Meetings.
Provides support for the Legislative Conference - attending and providing administrative support as needed.
Assists the CEO office with administrative support as needed in the office and during Board meetings.
Organizes and coordinates strategic planning and Departmental Leadership retreat meetings to include logistics and catering.
Maintain key listservs, including RESMA, G Managers, lobbyists, grassroots, etc.
Communicates with other departments to maintain positive internal relations, and to obtain needed information and support.
Maintains schedule of administrative responsibilities of SVP and the department, including personnel reviews, staff meetings.
Maintains knowledge of GR department work priorities.
Order and maintain office supplies and equipment.
Serve as floor monitor in emergencies and attend floor monitor trainings.

Associate's degree or 18 months equivalent technical training and experience, Bachelor's degree preferredExperience and Certifications Required:

Ability to use Microsoft 365 tools (Excel, Word, Outlook, Power Point, Teams, Publisher) in the day-to-day essential duties of the job.
Ability to operate various office equipment such as personal computer, copier, printer, fax machine or other job related equipment.
Ability to provide service excellence by building relationships, being resourceful, responsive and respectful.
Essential Physical Requirements:
The worker is required to have close visual acuity to perform an activity such as:
preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading; visual inspection involving small defects, small parts, and/or operation of machines (including inspection); using measurement devices; and/or assembly or fabrication parts at distances close to the eyes.
Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects.
If the use of arm and/or leg controls requires exertion of forces greater than that for sedentary work and the worker sits most of the time, the job is rated for light work.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
